Privacy Policy


The International House of Japan, Inc. (located at 5-11-16 Roppongi, Minato-ku, Tokyo) (hereinafter referred to as “the House”) recognizes the importance of protecting personal information in today’s advanced information and communication society and will protect personal information in accordance with the following policy.

1. The House complies with Japan’s Act on the Protection of Personal Information (hereinafter referred to as “the Act”) and related laws and regulations and strives for continuous improvement of its protection system.
2. Except as required by law, the House will not handle personal information beyond the scope necessary to achieve the purposes specified below without the prior consent of the individual.
3. The House acquires personal information in a fair and lawful manner.
4. The House will indicate the purpose of use of personal information in advance through its communication channels.
5. Except as required by law, the House will not disclose or provide Personal Data under the Act (hereinafter referred to as “Personal Data”) to third parties without the consent of the individual.
6. The House strives to keep Personal Data accurate and up to date within the scope necessary to achieve the specified purposes.
7. When the House receives a request for disclosure from an individual, it will disclose the retained Personal Data that can identify the individual By means of providing an electronic record or by means specified by the Personal Information Protection Commission regulations (such as providing an electronic record or, if such disclosure is difficult or costly, by providing a written copy), except as required by law.
8. When the House receives a request for correction, addition, or deletion (hereinafter referred to as “Correction, etc.”) of retained Personal Data on the grounds that it is inaccurate, the House will, unless special procedures are prescribed by other laws, promptly conduct the necessary investigation within the scope necessary to achieve the purpose of use and make the Correction, etc. based on the results.
9. When the House receives a request for suspension of use or deletion (hereinafter referred to as “Suspension of Use, etc.”) of retained Personal Data on the grounds that it has been handled or obtained in violation of laws or regulations, and the request is found to be justified, the House will, except as required by law, promptly implement the Suspension of Use, etc. to the extent necessary to correct the violation.
10. The House strives to prevent accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or unauthorized access to personal information. It also implements security measures against computer viruses using methods generally recognized as highly reliable. 11. Purpose of Use of Personal Information


The House uses personal information for the following purposes:

1. To provide membership services, including membership applications, renewals, subscriptions, facility reservations, and related purposes.
2. To create a membership directory (with search function) and for the use of the “Members-Only Website.” (Items displayed on the “Members-Only Website” are based on member consent.)
3. For routine information management of members, guests, visitors, and newsletter subscribers, and for the operation and management of events, meetings, etc., organized, co-organized, or sponsored by the House.
4. To provide information and various announcements regarding the House’s programs, services, and events.
5. To send surveys and direct mail for marketing purposes aimed at improving operations and services.
6. To verify the identity of members or respond to member requests.
7. To contact members, guests, visitors, and newsletter subscribers regarding matters stated in this Privacy Policy.
8. To comply with legal obligations imposed on the House (including obligations as a public interest incorporated foundation), such as submitting reports to the Cabinet Office, the supervisory authority.
9. To provide personal information to business partners (such as vendors, payment service providers, or facility management service providers) within the minimum scope necessary for the House’s operations. Examples include:
(a) Providing address labels to vendors for mailing marketing materials.
(b) Handling annual membership fees and monthly accounting.
(c) Handling accommodation reservations or use of banquet halls, seminar rooms, and other facilities.
(d) Sending letters of introduction to affiliated facilities or libraries overseas at the request of members.
10. To smoothly carry out the House’s operations and contractual matters.
11. To select personnel for short-term or long-term employment or outsourcing related to the House’s business.
12. To understand the usage of the website through Google Analytics.

Items of Personal Information


The personal information obtained and handled by the House includes:
1. Name, spouse’s name, home address, work address, nationality, telephone number, occupation, email address
2. Bank account, credit card, and debit card details
3. IP address recorded when accessing the “Members-Only Website”

Provision of Personal Information to Third Countries


The House will not transfer personal information to third countries without the member’s request or consent.

Profiling and Automated Decision-Making


The House does not engage in automated decision-making. However, limited profiling may be conducted within the scope necessary to achieve the purpose of use (e.g., sending information to individuals who may be interested). In such cases, recipients have the right to object to profiling at any time by requesting removal from the mailing list.

Procedures for Requests for Disclosure, etc. of Retained Personal Data


Requests for disclosure, correction, or suspension of use of retained Personal Data under this Privacy Policy generally require a written request. Requests by email will only be accepted from email addresses registered in advance with the House. When making a request, please attach a copy of an identification document for identity verification. You will also need to provide sufficient details to identify the retained Personal Data or third-party provision records subject to the request. A fee of 1,000 yen (including tax) will be charged per disclosure request.
